Benefits Enrollment

Problem statement:

The process of administrating employee benefits starting from initial setup by ‘Implementation specialists’ for new clients to yearly administration by HR (existing clients) was really convoluted. Led to yearly spike in customer support calls and longer implementation times.

Primary Users: Implementation specialists and HR Administrators.

Legacy screen before redesign

Challenges:

  • Legacy UI and code that required complete rebuilding.

  • High cost and time required to redesign and build.

  • The types of benefits and formulas for each demographic varied widely and it was hard to establish a standard. Flexibility was an important factor to retain which also took away control over templating solutions.

Process:

  • User Research sessions were conducted with a goal to identify most complex pain points that were time consuming for users.

  • Broke down the problem areas and prioritized based on high impact and medium effort. The project was scoped into 3 phases.

  • Phase 1: Redesign of UI that would provide a strong foundation for deeper modules in consecutive phases.

Information architecture was reworked to simplify the process and reduce the number of steps.

Design features:

  • A familiar pattern was used for easy way-finding so users can see where they are in the process.

  • An overview page was designed for historical context, quick edits, status and access to documentation.

  • Pricing calculators with most commonly used formulae were introduced.

  • A preview was introduced at the final step.
